Rules & Regulations for Bookings

  1. Access to the stage/venue will be granted a maximum of thirty minutes prior to the commencement of the booked session for necessary pre-event arrangements.
  2. The rental charges of the Hall includes the following facilities:
  • Main centre parting curtain, back curtain, side wings, files/zalars (in Main Auditorium).
  • 8 flood Halogen lights 1000W, 6 Par lights of 1000W & dimmer control panel having 12 dimmerstat (in Main Auditorium).
  • Sound application system with maximum 6 microphones with a facility of playback system.
  1. Any party desirous to use any extra electrical/stage material on extra payment shall have to deposit the amount at least two days in advance of the programme. The demand for any arrangement of extra reservation of equipment on the spot shall be entertained subject to availability.
  2. Premises shall not be available for booking on below mentioned days for private organisers:
  • 26th January (Republic Day)
  • 30th May (Goa Statehood Day)
  • 15th August (Independence Day)
  • 19th December (Goa Liberation Day)
  • Good Friday
  • Ganesh Chaturthi & Panchami
  • Diwali
  • Christmas
  • 24th November, (Foundation of I.M.B.)
  1. The booking of the accommodation could be done 3 months in advance. At the time of booking the party shall pay the prescribed rent along with Security Deposit. The Security Deposit shall be refunded to the party after the program upon receipt of application for refund subject to condition that no damage is caused to Institute Menezes Braganza property during the performance. In case of any such damage the amount shall be recovered from the party.

5.1 Ten seats in the Main Auditorium and Conference Hall shall be reserved exclusively for the Institute Menezes Braganza (IMB). The IMB will independently issue authorized entry passes for these seats. These passes shall be honoured by the party organizing the event without any questions or objections.

N.B. A booking shall be considered as confirmed only upon receipt of full payment of the prevailing rental charges. 

  1. Any request from party for preponement or postponement shall be treated as cancellation as per clause (7).
  2. If for any reason the party intends to cancel the booking of any accommodation, they can do so, subject to recovery by deduction of cancellation charges as follows:-
  • Cancellation before 30 days of date of programme                — 10%
  • Cancellation between 29 & 15 days                                           — 20%
  • Cancellation between 14 & 7 days of the date of program     — 40%
  • Cancellation between 6 & 1 day before the date of program — 75%

Note: while calculating the above days, date of program shall not be counted.

5.1 Ten seats in the Main Auditorium and Conference Hall shall be reserved exclusively for the Indian Meteorological Department (IMB). The IMB will independently issue authorized entry passes for these seats. These passes shall be honoured by the party organizing the event without any questions or objections.

  1. No subletting of accommodation is allowed. In case of any changes in the category of program, it should be informed to the office of I.M.B. in writing.
  2. If applicable, the party should produce the following documents at the time of booking or at least four days prior to the programe date:-
  • Permission of the writer/producer.
  • Licence/Alvara from the Mamlatdar of Panaji, Goa.
  • Advertisement Board display licence from the Corporation of the City of Panaji. In case of any objections regarding a, b, c above, the Institute Menezes Braganza shall not be held responsible for any compliance/violation.
  • NOC for use of amplified sound from competent authority in case of outdoor programme.
  • For Public performance, Certification/NOC to be obtained from concerned authorities/agencies as per the Copyright Act 1957, Cinematograph Act, 1952 etc. Institute Menezes Braganza, Panaji shall not be responsible or held liable for any violation of the above act or any compensation sought/claimed towards violation of the same.
  1. No nailing or pasting on the walls of the complex shall be allowed. No person shall be allowed to remove any existing fixture form the complex. If the party desires to have its own advertisement board, they can do so, provided the size of the said board should be max. 6” x 3”.
  2. Sale of tickets and ushering for the program shall be the sole responsibility of the hiring party at their own cost.
  3. The party may bring any materials/equipment/exhibits etc. for the performance/event at their own risk, however, it should be entered in the office register maintained by the Security Official on duty. Similarly while taking back the material the same needs to be recorded in outgoing Register maintained at the Security Counter.
  4. The party booking the accommodation shall remove all materials from the hall immediately after the event concludes. In the event of failure to do so, the Institute Menezes Braganza reserves the right to remove the materials at the cost of the concerned party, with the charges being deducted from the security deposit. Furthermore, if the materials remain unremoved for more than one day after the event, they shall be considered forfeited without prior notice and will be disposed of as unclaimed property.
  5. It will be responsibility of booking party for any damages or deterioration of the property that may occur during the setup, duration, and dismantling of the event, this includes, but is not limited to, damages to walls, floors, ceilings, fixtures, and any other part of the venue including foyer area, entrance etc.
  6. In the event that the party fails to vacate the venue within the allotted session time, a fine of 3000/- will be imposed to avoid any inconvenience to subsequent bookings or operations of venue.
  7. On account of any defective chair in the Hall/Conf. Hall no deduction in rental charges shall be made. The exact number of such chairs can be ascertained from the Theatre Manager.
  8. The accommodation shall not be made available for spiritual programs marriages, birthdays & other family functions, religious activities/ceremonies.
  9. No fireworks will be allowed in the premises of Institute Menezes Braganza.
  10. Smoking, consumption of alcoholic drinks or any such intoxicating items are strictly prohibited in the premises of Institute Menezes Braganza. Similarly, no eatables or drinks of any kind shall be allowed inside the Main Hall & Conf. Hall.
  11.  
  • The party booking the accommodation shall have to make their own arrangements to check the tickets at the entrance of the hall in case it is a ticketed program and person checking the entrance shall remain present till the end of the show so that no unauthorized person shall be allowed to enter. The party booking the accommodation shall be responsible to make the necessary arrangements of police bandobast etc, if required.
  • It will be the responsibility of the hiring party to ensure that the show starts on time i.e. the time mentioned in the booking form. The timing shall not be changed unless it is approved by the Institute Menezes Braganza.
  • Hiring parties or their representative shall remain present in the complex till the end of the show.
  1. Whenever any booking is done for any program where the Institute Menezes Braganza feels the necessity of deputing extra security staff for controlling entry gates in respect of prohibiting eatables and drinks inside the halls, extra security guards will be deployed for services and the expenditure thereof will be recovered from the hiring party. Similarly it shall be the responsibility of the hiring party to make an announcement/appeal at the beginning and also during intermission not to carry any eatables, drinks and also about no smoking inside the Hall.
  2. The Institute Menezes Braganza reserves the right to cancel the booking done by any party if that particular date is required by the Government or by the Institute Menezes Braganza for their own programme, without assigning any reason. In such circumstances, the Institute Menezes Braganza shall refund the accommodation rent & Security Deposit paid by the party and no extra compensation shall be paid.
  3. If the program is cancelled for any technical reasons on the part of the Institute Menezes Braganza, only the rent paid by the party shall be refunded and no extra compensation shall be paid.
  4. Once the show is started but fails to continue the same due to unforeseen technical reasons, in such cases no refund of rent or any compensation shall be paid by the Institute Menezes Braganza.
  5. The Theatre Manager shall decide under which category a program could be charged and accordingly the rent prescribed under the category shall be fixed.
  6. In case of dispute on any point, the decision of the Chairman/Vice-Chairman/M.S. shall be final and binding on the party.
  7. These rules are subject to alternations and/or modifications at any time without prior notice at the discretion of the Institute Menezes Braganza.
  8. The revised rates, if any, will be made applicable from time to time without any prior notice.
  9. Booking forms are available in office of Institute Menezes Braganza. No booking will be accepted if the forms are incomplete.
